Selden’s Sister Mentoring Scheme

Privacy Notice

This notice tells you about how we collect, use and store your personal information when you sign up to take part in Selden’s Sister sector mentoring scheme. 

Data is being collected from you to use for the purposes of matching you with a mentor or mentee in the Selden’s Sister mentoring scheme, and for evaluating and monitoring that scheme (including in relation to monitoring the range and diversity of participants). The data you provide in your application form will be only be used by Selden’s Sister in relation to your participation on the mentoring scheme, and will not be shared with any other organisations or used for any other purpose. Selden’s Sister are bound by the General Data Protection Regulation 2018 (GDPR) to keep your data secure and to maintain your privacy.

In accordance with guidance issued by the Information Commissioner’s Office (ICO), Selden’s Sister is a “data controller” for the purposes of your personal data.

The data that you have provided is to facilitate the mentoring scheme, and the processing of the data supplied by you is necessary for the that task.

The personal data we would like to collect from you are:

  • Name, job title, responsibilities, company name, company address, email address, gender;

  • Qualifications, subject area, year of obtaining qualification, reasons for applying to be a mentee/mentor, career knowledge, areas of expertise and industry experience; What supports you are seeking as a mentee/What support you are able to offer a mentee;

  • Experience of training and mentoring;

  • For mentors, how many mentees you are able to mentor

  • Any particular preferences on the mentor you wish to be matched with/the mentee who you wish to support – this could be subject area, career stage etc;

  • Whether you would be willing to offer any of the following:

    • In person meetings, online meetings;

    • Reviewing work-related documents such as job and grant applications;

    • Mentees/mentors to connect with you on LinkedIn.

The personal data we collect will be used for the following purposes:

  • The administration of the mentoring scheme; including the selection process and matching

  • To contact you regarding any matter arising from the scheme

  • To contact scheme participants with further information about events

The special categories of personal data we collect are:

  • Race

  • Ethnicity

  • Sexuality

  • Disability

This data is stored electronically and/or in paper form.

Third Party Disclosure

Information will only be shared with the mentors taking part in the scheme. Your personal data will not be disclosed to external organisations.

Mentees and Mentors who have been matched will be given the following information that you have provided us with including name, email address and job role, with brief description of your research interests and experience.

Selden’s Sister will contact you at regular intervals to monitor and evaluate your experience.

Consent

By providing Selden’s Sister with the information outlined in this privacy notice you are giving us permission to process your personal data specifically for the purposes identified.  Consent is required for Selden’s Sister to process both types of personal data, but it must be explicitly given.  Where we are asking for sensitive personal data we will always tell you why and how this information will be used.

You may ask for your details to be amended by contacting seldenssister@gmail.com.

You may withdraw you consent at any time by contacting us at seldenssister@gmail.com.

Retention Period

Your data will be retained only for as long as necessary to fulfil the mentoring scheme objectives and in order to comply with applicable law. The default period of retention will be 3 years, unless you ask to withdraw or remain in our database for longer.

The GDPR provides data subjects with the following data subject rights:

  • The right to be informed – this privacy notice assists with fulfilling these obligations

  • The right of access

  • The right to rectification

  • The right to erasure

  • The right to restrict processing

  • The right to data portability

  • The right to object

Please note, that these rights apply in certain circumstances, for example according to the lawful basis utilised by Selden’s Sister. The right of access to personal information held about you exists in order to be aware of, and verify, the lawfulness of the processing. If that information is inaccurate or incomplete, you may be able to request rectification.

We may update this privacy notice from time to time in response to changing legal, technical or business developments. When we update our privacy notice, we will take appropriate measures to inform you, consistent with the significance of the changes we make.
